Job Summary
We are seeking an organized, detail-oriented, and compassionate Administrative Assistant to support our Client First Services team. In this role, you will play a critical part in ensuring that our clients receive top-notch service by managing paperwork, coordinating with various programs, and working closely with a diverse set of clients and stakeholders. You will be responsible for handling sensitive information, ensuring accuracy in documentation, and providing administrative support across multiple service programs.
Key Responsibilities
Client Paperwork Support: Assist clients by completing necessary forms, applications, and other documents across a variety of programs. Ensure all required paperwork is submitted accurately and on time.
Document Management: Maintain accurate and up-to-date client records, ensuring compliance with organizational policies and relevant regulations. File and organize documents in a systematic way that supports ease of access and retrieval.
Client Interaction: Work directly with clients to gather necessary information, answer questions, and provide assistance as needed. Foster positive relationships with clients by offering empathetic and timely support.
Stakeholder Coordination: Collaborate with other internal teams and external stakeholders to ensure smooth processing of client requests and follow-ups.
Data Entry and Reporting: Accurately enter client information into various systems and track progress of documentation completion. Prepare reports or status updates on client cases when required.
Attention to Detail: Review completed forms, documents, and client files to ensure accuracy, completeness, and compliance with program requirements.
Confidentiality and Compliance: Adhere to privacy regulations and confidentiality agreements when handling sensitive client information. Ensure compliance with relevant policies and procedures.
Administrative Support: Provide general administrative support to the Client First Services team, including scheduling meetings, organizing files, and preparing materials for client appointments or outreach efforts.
Required Skills and Qualifications:
High school diploma or equivalent required; associate’s or bachelor’s degree in business administration, social services, or a related field preferred.
Proven experience (1-2 years) in administrative support, preferably in client services or a related field.
Exceptional attention to detail and a high level of accuracy in handling client documentation and data.
Strong written and verbal communication skills to effectively interact with clients, colleagues, and external partners.
Ability to manage multiple tasks simultaneously, prioritize effectively, and meet deadlines.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with client management or database software.
Ability to work with a diverse population, demonstrating cultural sensitivity and adaptability to meet the needs of clients from varied backgrounds.
A proactive attitude, with a strong commitment to client satisfaction and high standards of service.
Strong organizational and time management skills to handle various client support tasks.
